Privacy Policy

Effective October 22, 2026.

The Beat Newsroom is a product of Coleman Sourcing Solutions LLC, 116 N. Bridge St., Chippewa Falls, Wisconsin 54729. In this policy, "we" means Coleman Sourcing Solutions LLC. It covers this website, the chamber portal, and our event check-in texting service, Beat Check-In.

We keep this short. It says what we collect, why, who sees it, and how long we keep it.

What we collect

When you visit the site. Our web host and its network provider keep standard records of each visit, such as your IP address, browser type and the pages you view. The host also runs its own scripts that count page views, measure how the site performs and report errors. They may store a small identifier in your browser. The network provider sets one short-lived security cookie that tells people from bots. We do not use advertising cookies, and we do not sell visit data.

When you send us your list. The form on "Tell us your list" asks for your name, your chamber, your email, and, if you choose, your phone number, a rough member count and a note. It reaches us as an email. We use it to reply to you and to set up your first edition.

When your chamber uses the portal. We hold the login details for each portal account, the chamber's contact details, and what the chamber uploads: member lists, ad files and finished editions. A member list can include business names, addresses, phone numbers, websites, and the names and email addresses of member contacts. We use it to produce that chamber's edition and to run check-in for that chamber's events. We use it for nothing else.

When you check in to an event by text (Beat Check-In). You start it: you scan the code on the event sign and send the text it fills in, or you text the event code yourself. We receive your mobile number, the text you sent and the time. If we can't match your number to the chamber's member list, we text you once to ask your name and business, and we keep your answer.

When you check in with the web form instead. We receive what you type in: your name, your business, your mobile number and, if you choose to give it, your email.

How we use check-in information

We use it for one thing: to give the chamber that ran the event an accurate record of who attended. We compare your number or your name with that chamber's member list so the chamber gets a clean record, and we never match you against any other chamber's list. The morning after the event, we send the chamber an attendance file. It holds your name, your business, your email if you gave it, the date you checked in, and the chamber's own member ID for you if we matched you. It does not include your mobile number.

We only text you in reply to a check-in you started. That means a confirmation, or one question asking your name. It is never more than 3 messages per check-in. We never send marketing or promotional texts.

Who sees it

  • The chamber that ran the event you checked in to gets its attendance record, as described above. No other chamber sees it.
  • The companies that run the service for us: Twilio (texting), Lovable and Supabase (website, portal and database hosting), Resend (sending the attendance file by email), Web3Forms (delivering the site form), and Zoho (our email). They handle the information only so the service works.
  • No one else. We do not sell, rent or trade personal information.

Mobile numbers and text-message consent are never shared with third parties for their marketing or promotional purposes. Text messaging opt-in data and consent are never sold, rented or shared with any third party.

We will release information if the law requires it.

Texting: your choices

  • Reply STOP to any of our texts to stop all texts from our number. We send no more texts after that, whatever chamber or event. Reply START to opt back in.
  • Reply HELP for help, or email editor@thebeatnewsroom.com.
  • Texting is optional. An event sign may also offer a web address where you can check in without texting.
  • Message and data rates may apply.

How long we keep it

  • Raw text messages: deleted after 90 days.
  • Check-in records: kept as the chamber's attendance record while the chamber uses the service, and deleted 90 days after the chamber cancels.
  • Opt-outs: kept for as long as we run the texting service, so a STOP stays a STOP.
  • Site-form emails and portal account information: kept while we work with your chamber.

Security

Portal data and check-in records sit in a hosted database that only signed-in chamber users and our own systems can reach. Each chamber sees only its own records. No system is perfectly secure, but we keep access narrow on purpose.

Children

This site and the check-in service are for business events. They are not meant for children under 13, and we do not knowingly collect their information.

Questions, corrections, deletion

Email editor@thebeatnewsroom.com or write to Coleman Sourcing Solutions LLC, 116 N. Bridge St., Chippewa Falls, Wisconsin 54729. Ask us what we hold about you, ask us to correct it, or ask us to delete it. A person reads every message.

Changes

If this policy changes, we post the new version here and change the effective date at the top.
